05 Understand

A closer look

Each topic below expands one row from the tables: pricing, client experience, and scope.

Comparing the free options and paid upgrades

NeatInvoice paid plans include unlimited monthly invoice creation; Wave Starter is unlimited but charges processing fees and gates key bookkeeping features.

NeatInvoice starts with a 7-day no-card trial, then Solo or Studio. Unlimited invoices per month and unlimited saved clients on Solo, plus unlimited live links. Wave Starter is free with unlimited invoices but surfaces Pro upsells and paid add-ons (Receipts, payroll, Wave Advisors). For paid upgrades, Paid plans from $9/mo (Solo) to $19/mo (Studio) after trial, whereas Wave Pro is $19/month (or $190/year billed annually). Check our current pricing, the freelancer software guide, and Wave eligibility for your country.

Do you need full bookkeeping or just invoice tracking?

Wave includes a complete double-entry bookkeeping ledger; NeatInvoice focuses strictly on invoicing and outstanding collections.

Wave's primary feature is bookkeeping: tracking expenses, importing bank statements, and preparing balance sheets. Auto-import bank feeds and receipt OCR require Pro ($19/month); Starter supports manual uploads (legacy Wave businesses migrated to Starter on June 1, 2026 lose live bank connections). NeatInvoice does not include bank reconciliation, receipt matching, or full ledgers. Only a quiet invoicing editor and a collections dashboard.

Inviting team members and accountants

Wave Pro unlocks admin/editor/viewer collaborators; legacy Starter migrations remove access June 1, 2026.

Wave Starter allows limited collaborator roles (payroll manager or Block Advisors tax pro) but admin, editor, and viewer access for your bookkeeper requires Pro. Legacy Wave accounts migrated to Starter on June 1, 2026 lose all collaborator access unless they upgrade. NeatInvoice is a solo workspace. Paid plans support multiple business brands but one login. Pick Wave Pro if your accountant needs editor access inside Wave.

06 Decide

Make the call

A final checklist on both sides. Pick the tool that matches how you actually work.

Choose NeatInvoice if…

  • You want a quiet, ad-free workspace dedicated to invoicing and collections
  • You already manage receipt scanning and bank connections in other dedicated tools
  • You want custom language locale packs (like English or Indonesian) on your invoice template
  • NeatInvoice paid plans ($19/mo on Studio) fit your budget better than Wave's $19/month Pro tier
  • You prefer keeping your client database private and local-first

Choose Wave if…

  • You need a full double-entry bookkeeping ledger to track business profit & loss
  • You want automated bank statement reconciliation in the same dashboard ($19/mo Pro)
  • You need to invite your bookkeeper or accountant to collaborate directly ($19/mo Pro)
  • You run payroll and want it in the same product (Wave payroll add-on from ~$25 to $40/mo, region varies)
  • You require unlimited invoices on a completely free plan and don't mind manual entry bookkeeping

07 Switch

Switching from Wave

Most freelancers switch when sending the next invoice, not by migrating every historical PDF.

  1. Download PDF records of your past Wave invoices and export your customer contacts list
  2. Pick a NeatInvoice plan and set up your workspace
  3. Upload your logo and add your bank details or custom payment links
  4. Import or re-add your active clients and common invoicing line items
  5. Send your next invoice using a clean NeatInvoice live link or PDF export

Common questions

What freelancers ask when choosing between NeatInvoice and Wave.

NeatInvoice is better if you want a calm, lightweight editor to write invoices, share links, and track who owes you money. Wave is better if you require a full bookkeeping ledger, automatic bank transactions, or payroll management in one place. Compare the limits and features in the tables above before you switch.

On June 1, 2026, Wave migrated legacy businesses (created before the 2024 Starter/Pro launch) that do not use paid Wave services to the Starter plan. Those accounts lose live bank connections and all collaborator access; manual bank uploads remain. Auto bank feeds, receipt OCR, and admin/editor/viewer roles still require Pro ($19/month). Receipt OCR can also be bought as a Starter add-on (~$11/month). Free invoicing stays unlimited.

NeatInvoice offers a free PDF generator and a 7-day workspace trial. Wave offers a free accounting starter plan. For paid subscriptions, Paid plans from $9/mo (Solo) to $19/mo (Studio) after trial, while Wave Pro is $19/month (or $190/year billed annually). Wave payroll and advisory services are extra paid add-ons.

Yes, both support multi-currency. However, NeatInvoice offers localized language packs (English and Indonesian label packs) to translate your invoice document labels. Wave is primarily English-focused for invoice layout terms.

No. NeatInvoice does not sync with your bank accounts or reconcile expenses. It is an invoice-first workspace designed to track invoice status and outstanding collections manually. Choose Wave Pro if bank feeds are essential.

Both provide an online link you can email to clients. Wave hosts a client portal with payment options. NeatInvoice gives you a live link, tracks client views, and allows PDF download. NeatInvoice paid plans include unlimited live links with zero third-party ads.

Yes, you can export your Wave customer database as a CSV file and add your client details to your NeatInvoice library. Most users choose to make the transition when issuing their next invoice.
