What belongs on a freelance invoice

A useful template does more than place a logo above a total. It tells the client who issued the bill, what they bought, which commercial agreement applies, when payment is due, and how to reconcile the transaction.

  • Sender name, address, and contact
  • Client legal and billing details
  • Unique invoice number
  • Issue date and explicit due date
  • Specific line items, quantities, and rates
  • Currency, subtotal, tax, and total
  • Amount paid and balance due
  • Payment instructions and concise terms

Tax identifiers, required wording, numbering rules, and record retention vary by jurisdiction. Treat this template as an operational example and confirm local legal and tax requirements.

Hourly, fixed-price, and retainer variations

Hourly work

Show the service period, approved hours, rate, and a short description of the work. Example: Product design support, 12 hours at $125/hour.

Fixed-price project

Name the deliverable and agreed milestone. Example: Website redesign, final production handoff, per proposal Q-104.

Monthly retainer

Name the service month, included scope, overage rule, and unused-hours policy. Example: August design retainer, includes 24 hours.

Payment-term examples

Net 15: Payment due within 15 calendar days. Due date: August 16, 2026.

Deposit: 40 percent due on acceptance; remaining 60 percent due within 7 days of final delivery.

Retainer: Invoiced on the first day of the service period and due within 7 days.
